At Stargate Healing & Hypnosis LLC (“Stargate,” “we,” “our,” “us”), your privacy is very important to us. This Privacy Policy explains how we collect, use, store, and protect your personal information when you engage with our services. By booking a session, completing forms, or interacting with Stargate, you consent to the practices outlined below.

Information We Collect

We may collect the following information:

Contact details (name, email address, phone number).
Intake form information (background, goals, history relevant to your session).
Session data, including audio recordings (if agreed upon).
Payment information (processed securely by third-party providers such as Stripe, PayPal, or Wix — we do not store credit card numbers).
Communication records (emails, texts, or phone correspondence with you).

How We Collect Information

Directly from you, through forms, emails, calls, or during sessions.
Automatically through our website (basic data such as email signup, cookies, or analytics).
Through third-party platforms when payments or scheduling are completed.

How We Store & Protect Your Data

At Stargate Healing & Hypnosis, we take client confidentiality and data protection seriously. We provide clear recommendations and expectations for secure data handling; however, all practitioners working with Stargate operate as independent contractors and are solely responsible for their own data collection, storage, and security practices within their individual businesses.

Practitioner Data Storage Recommendations

We recommend that all practitioners protect client information using one or more of the following methods:
Storing digital files in encrypted or password-protected folders
Using a password-protected USB storage device (such as a Stargate Port)
Printing client records and securing them in a physically locked file or storage unit, then permanently deleting any digital copies

Audio Recordings

If session recordings are created, we recommend they be:
Shared with clients using secure delivery methods
Stored only as long as necessary for session support or follow-up
Deleted after delivery whenever possible to reduce unnecessary data retention

Independent Practitioner Responsibility: Although Stargate provides confidentiality guidelines and requires practitioners to sign confidentiality agreements, each practitioner is fully responsible and legally liable for how client data and recordings are stored, transmitted, and protected within their own practice. Stargate does not control or manage individual practitioner data systems and cannot guarantee specific storage methods used by independent practitioners.

How Long We Retain Information

Client files and intake forms are typically kept for up to 7 years, unless requested otherwise (in accordance with standard wellness recordkeeping).
Audio recordings may be deleted once no longer needed, unless requested to be retained by the client.
Marketing or testimonial consent remains valid until revoked in writing.

Social Media, Education & Testimonial Consent (Opt-In Only)

Stargate may share limited, carefully selected excerpts from sessions only if you explicitly opt in through our intake form. This content is shared for the purpose of education, awareness, and inspiration, and may appear on Stargate platforms such as our website, email marketing, social media accounts, and/or YouTube.

Your consent is always voluntary. Choosing not to share will never impact your ability to receive services.

Your Sharing Preferences (Chosen in the Intake Form)

When completing our intake form, you may select one of the following:

1) Consent to Share Video Excerpts (Face Included, Identity Protected)

If you opt in to allow video sharing, Stargate may use short video clips from your virtual session recording. This may include your face, voice, and a portion of the session content.

Even if your face is visible, Stargate will still protect your identity by ensuring we do not share:

Your full name (or any real name you provide)
Your location (city, state, workplace, school, etc.)
Contact information (email, phone number, social handles)
Any identifying personal details you share that could reasonably lead to your identification
(such as names of family members, employers, specific events, or unique circumstances)

We may also remove or obscure identifying details when appropriate (for example, omitting certain parts of the clip, cropping, removing names, or using captions that exclude identifying information).

2) Consent to Share Audio-Only Excerpts (Identity Protected)

If you opt in to audio-only sharing, Stargate may use short audio clips from your session. These clips may be shared with or without a visual background (e.g., graphic, subtitles, stock footage), but your face will not be included.

When sharing audio-only excerpts, Stargate will protect your identity by ensuring we do not include identifying details, including:

Your real name
Your location
Any direct personal identifiers

When necessary, we may also further protect your identity by removing, altering, or omitting segments that contain identifying information.

3) No Consent to Share

If you opt out, no part of your session recording, audio, written reflections, or story will be shared publicly in any form.

What We May Share (Only With Your Opt-In)

If you provide consent, Stargate may share:

Short excerpts from your session recording (video or audio, depending on your selection)
Anonymous reflections or non-identifying quotes from your experience
General themes or educational takeaways (de-identified)

What We Do NOT Share (Even If You Opt In)

Even with consent, Stargate does not share:

Your legal name or full name
Your location or any information that reveals where you live
Your contact details or social media accounts
Any information we believe could reasonably identify you
Full-length sessions (unless you provide separate, explicit written permission)

Withdrawing Consent (Revocation)

You may revoke your opt-in consent at any time by sending a written email request to: stargatehealinghypnosis@gmail.com.

Upon receiving your request, Stargate will discontinue future use of your content and will make reasonable efforts to remove previously posted content from our platforms where we have control (e.g., our website and social channels). Please note that content shared on third-party platforms (such as social media) may have already been saved, shared, or redistributed by others outside of our control, and complete removal in those cases cannot be guaranteed.

Your Comfort Comes First

Your privacy and sense of safety matter deeply to us. If you are ever unsure about consenting, we encourage you to choose the option that feels most comfortable. Your decision will always be respected.

How We Use Your Intake Information

To schedule and deliver hypnotherapy sessions.
To create your personalized transformation audio.
To respond to inquiries or support requests.
For internal recordkeeping and administrative purposes.
If you opted in, for educational or marketing purposes (with anonymity maintained).

Sharing Information

Your information will never be sold or rented. We may only share information:

If required by law (e.g., court order, legal obligation).
If there is risk of harm to yourself or others.
If fraud, crime, or abuse of minors is suspected.
With your explicit written consent (e.g., a doctor or healthcare provider requesting a report).

Your Rights As A Client

You have the right to:

Request a copy of the data we hold about you.
Request corrections if your information is inaccurate.
Request deletion of your data, where legally permissible.
Revoke previously given consent for social media/testimonial use.

Third-Party Services

We use trusted third-party services (e.g., Stripe, PayPal, Wix) for payments and scheduling. These providers process your data securely and in compliance with their own privacy policies. Stargate is not responsible for third-party practices outside of our control.
